HubSpot Reporting - 3 Crucial Steps to Prep Your Database

So you want to build a reports dashboard in HubSpot, but you can’t seem to pull the right data? We'll cover the 3 roadblocks standing in your way of a clean system.

When starting to use HubSpot, it’s easy to get excited about all the features and tools… but with great power comes great responsibility.

If you have multiple users managing the system and data, things can get really messy. This is because people may input the same data twice, or have different ways in which they like to work. This mess may seem okay or like something you can live with, but when it comes to reporting it can be incredibly problematic for a business if things aren't in order.

When the time comes for reporting, you may suddenly be faced with:

  • Contacts with untraceable origins
  • Multiple properties containing the same data
  • Lack of web analytics because you forgot to install the tracking code to your website
  • And so much more!

While we hope these issues don't sound too familiar, you can start with these tips to clean up your database:

1. ♻️ Clean up old data

If you already have a mound of data, it is necessary that you go through it and clean some out. This means:

  • Consolidating and archiving properties that aren’t in use
  • Cleaning out irrelevant contacts every now and then
  • And if you don’t already - starting to use naming conventions!

Doing these things will make it easier to sort through data and create an organized system so that things don't get messy again.

2.⚙️ Check your setup

Your HubSpot setup is the foundation of all processes. Make sure you don't forget to:

  • Install tracking codes
  • Connect your email and other social media accounts
  • Import contacts
  • And more!

This allows you to use all the tools properly and collect all possible data while doing it. Ultimately, taking time to properly set up our HubSpot account will save you time and energy later on.

3. 👩‍💻 Train your teams

Often overlooked, if new users enters HubSpot they should know the basics of how to use the system for what they need. It is vital that you train your team in using HubSpot. While doing this, you should create a system that works for everyone when it comes managing the system and data.

Believe me, doing this will save you lots of trouble in the future.
